PRODUCTION INFO SHEET & CONTRACT

Dear Production,

We look forward to welcoming you to POPArt for your upcoming performance. Please take care when filling in the below information, as this will be used as a basis for all discussions and logistics going forward.

THIS FORM IS VERY IMPORTANT. It contains comprehensive information about everything to expect from your run, and tells us what to expect from you so that we can best support you as an artist.

By clicking submit, you are signing this agreement and are committing to the below terms and conditions and declaring that all the information is true and correct.

You have been sent a production contract and technical rider separately. Please note that no show will be loaded on our website without a signed contract. Should we not receive the signed contract or marketing information three weeks prior to the show, we will take this as a cancellation and charge the appropriate cancellation fee. As space is at a premium, the dates will be given to another production.

When your show is loaded you will be sent a link to its page on our website and to your producer page. Please note this agreement covers only the show being discussed, it is not transferable to a third party and substitutions cannot be made. Pulling out of a reservation with under 30 days notice will mean that we simply will not host any show presented by your company in the future, and you will be charged a cancellation fee as outlined below.

We may ask for a deposit to secure your booking at our discretion.

If any company misrepresents their production deliberately or by omission or by circumstances beyond their control then the production may be pulled from the schedule at any point and ticket sales will be refunded to the buyers. POPArt and its affiliates will not be liable for any losses, damages or costs in such a scenario.

If standards of professionalism, respect or artistic quality are not met then POPArt may terminate this agreement at any time, and will not be held liable for any damage or loss of income incurred by such a decision.

Above all, the onus to secure rights for your production is yours to bear. Failure to secure rights or misrepresentation of permission will result in the agreement being immediately terminated.

Confirmation Form

This is the primary person we will contact for any communication. They will receive booking reports and in general enquiries will be addressed to them. We will also create a profile for this person and send them a link to a page on our system where they can check reports and audience feedback. The final money will be paid out into the account specified and only into that account. If incorrect details are submitted then POPArt will not be liable.

In Minutes. Times of over 65 minutes only by explicit agreement. NO INTERVAL without prior arrangement.
A general run at POPArt is as follows, unless otherwise agreed upon above: Thursday, Friday, Saturday at 8pm & Sunday at 3:30pm Extended runs by agreed by prior arrangement. For once off performances, evening shows are at 8pm Please confirm both time and the dates to make sure there have been no misunderstandings.
High and Low. Recommended minimum is R100/R120. Unless by special arrangement no ticket may be under R60 or over R160. Unless otherwise agreed the artist gets 60 percent of the door. Prices lower than R 100 will mean an adjusted door split
You will be paid by EFT. If you do not include your banking details it will delay payment. Payment usually takes 5 business days. If you have worked with us before and your banking details are unchanged you may leave this blank. If you have new banking details please headline this section with "NEW". You will be required to send an invoice upon receipt of your recon for our records.

Marketing

When you create Print Materials specify ALL the following information:

Print media is done at your discretion, please drop off 3 - 5 copies of your poster at the POPArt to be put up (you can also email us a pdf version). Once a show is loaded on the site you will be given unique booking page .
50 - 100 words describing your show, this goes on the website look at examples on the What's Showing page. Please be clear and stick to the word limit. You may include more information in the next box. POPArt reserves the right to redesign digital material and blurbs to adhere with POPArt standards, and to effectively market the show.
50 - 200 further information or pull quotes about your show and creative team. Please do not repeat info from the previous. This goes on the website under expanded content. Do not repeat information in the Publicity Blurb.
More information pertinent to the press. This will only go into the press release.
Should not contain text - if text is absolutely necessary make sure takes up less than 20 percent of the image.

Technical Requirements

PLEASE NOTE : POPArt is a 'festival' type space and thus may require you to break down your set following any performance should events be booked in the space during the days of your run. If your set will not allow for this, this needs to be declared upon filling in this form and we will negotiate around this.

We try to schedule these so that there is a minimum of an hour for turn around. However this depends on the accuracy of the information you provide. We will look at your requirements and assess how much time is needed for the Get-In and make arrangements. It is recommended that you visit the space before your get-in to plan everything properly. We are a small venue, with almost no storage space. All design decisions should keep that in mind. In all cases we expect Artists to arrive on time and prepared, with cue sheets for the operator where necessary.

A technical rider will be sent separately.
How many cues do you have? CD or ipod playback, number of mikes, number of instruments, etc.

How much time will you need to set up? Do you need to rehearse in the space? Standard technical times: A move-in and technical rehearsal will take place on the Wednesday evening before the run of the production, from 16h00-20h00 (4 hours) with POPArt’s in house venue manager. Upon special request and in due notice, productions may appeal for an alternative time slot for the technical rehearsal, depending on availability from all parties. If productions require more than 4 hours for their move-in and technical rehearsal, standard rehearsal fees apply. Please see below:
  • Half Day (4 hours): R400
  • Full Day (8 hours): R800
For one off shows, get in will be on 4pm on the day of performance.
Tables, chairs, etc. NOTE: we have limited furniture and storage space.
e.g. Projector and source, e.g. Laptop, dvd, etc. or anything else not covered yet.
Warnings for the Audience: Anything you feel an audience should be aware before entering the theatre, for example smoking, nudity, strobe lighting, loud bangs. Please include content warnings such as "Gender-based violence".

Value Added Services

POPArt has established itself as a premier space for many successful productions. As such, we have created a value added service package by special arrangement with our suppliers that may be helpful in staging and proposing your production going forward.
Please note : these may require a deposit, and a cancellation fee will apply if you change your mind

After the final performance, artists and venue have a maximum of 1.5hrs to strike.
This includes removing all set, props and costumes from the theatre; and cleaning the backstage and performance space. Please note that if any damage is made to the performance space by artists, it is up to the artists and venue to troubleshoot before strike to ensure the theatre returns to the state in which it was found (this may include painting the floor or thoroughly washing the walls before you leave the space).
 
If your production includes large set pieces that may need transportation the day after strike, this must be flagged at least one week before move-in. Artists are expected to pick up their set within 24hours, after which the venue will charge a storage fee (R300 per day). This is due to limited backstage space and the fringe festival nature of the theatre, and to allow the next production the space comfort of your production.
